Privacy policy

This policy explains how Hadlock Technologies LLC, doing business as Racetix, handles information when you use Racetix websites, mobile apps, ticketing services, and related support.

Who this policy covers

Racetix provides ticketing technology for participating race tracks and event organizations. This policy applies to Racetix services for fans and ticket buyers. A participating track may also provide its own privacy notice for information it receives as the event operator or payment merchant.

Information we collect

  • Contact and account information: your name, email address, account credentials in protected form, email-verification status, and profile details you choose to provide.
  • Order and ticket information: selected events or admission products, quantities, prices, discounts, order status, ticket credentials, refund activity, and acceptance of applicable ticket terms.
  • Payment-related records: payment status, transaction identifiers, totals, taxes, and processor reconciliation details. Racetix does not collect or store your full payment-card number; Stripe collects and processes payment credentials through its checkout service.
  • Communications and preferences: support messages, ticket-transfer details, email delivery activity, and marketing consent or unsubscribe status.
  • Discount eligibility information: when an event offers a community discount, your name, email, claimed role, agency, and a credential image you choose to submit. You should cover ID numbers, addresses, birth dates, barcodes, and unrelated details before uploading.
  • Technical information: session cookies, IP address, browser or device information, security and rate-limit signals, and website usage information when analytics is enabled.

How we use information

  • Display events, calculate ticket prices, and complete checkout.
  • Review eligibility for limited community or service discounts using a local automated first pass and, when needed, authorized staff.
  • Issue, deliver, validate, transfer, and support tickets.
  • Maintain accounts, authenticate users, and protect the service from abuse.
  • Process refunds, reconcile payments, and keep transaction records.
  • Send service messages and, only when permitted, marketing communications.
  • Measure service reliability and improve Racetix.
  • Meet legal, tax, accounting, safety, and dispute-resolution obligations.

When we share information

We share information only as needed to operate the service, including with:

  • The participating track or event organization responsible for the event, admission, customer service, and applicable ticket policies.
  • Service providers that support payments, email delivery, hosting, databases, analytics, wallet passes, and fraud or security controls. Stripe processes payment credentials under its own privacy terms.
  • Government authorities or other parties when reasonably necessary to comply with law, protect people or the service, or establish and defend legal claims.
  • A successor in connection with a merger, financing, acquisition, reorganization, or sale of relevant business assets, subject to applicable law.

Racetix does not sell personal information or share it for cross-context behavioral advertising.

Marketing choices

A track may invite you to receive event news or offers. Racetix records a marketing contact only when consent is provided. You can unsubscribe through the link in a marketing email. Transactional messages about accounts, orders, tickets, transfers, security, or policy changes are not marketing messages.

Cookies and analytics

Racetix uses cookies that are necessary for sign-in, security, and organization selection. When configured, Racetix may also use privacy-focused website analytics to understand visits and product performance. You can control cookies through your browser, but blocking necessary cookies may prevent account features from working.

Retention and security

We retain information for as long as reasonably necessary to provide tickets and accounts, maintain financial and audit records, resolve disputes, enforce agreements, and meet legal obligations. Retention periods vary by record type and participating organization. We use administrative, technical, and organizational safeguards designed to protect information, but no system can guarantee absolute security.

Credential images submitted for discount eligibility are normalized to remove source metadata, encrypted, and may be analyzed by local optical-character-recognition software. Extracted text is not stored or logged; only an outcome, score, and generic match indicators may be retained. Images are limited to authorized event-organization staff. Images that need staff review are deleted immediately after approval or decline. Automatically approved images and images awaiting review are deleted within seven days after submission. The application, decision, and any approved discount code may be retained for offer administration and abuse prevention.

Your choices and requests

Depending on your location, you may have rights to request access, correction, deletion, or a copy of personal information, or to object to certain processing. We may need to verify your identity and may retain records where permitted or required by law. To make a request, email [email protected].

Children

Racetix is not directed to children under 13, and we do not knowingly collect personal information from a child under 13 without appropriate authorization. A parent or guardian who believes a child provided information may contact us to request review and deletion.

Changes to this policy

We may update this policy as Racetix changes. We will post the revised policy here and update the effective date. When required, we will provide additional notice.
